Booking in scripts, for the days between the yes and day one

Six messages for after a client accepts your quote. Recap what you agreed, and confirm a yes you took by phone. Pencil a date, then confirm it. Tell a far-off client when you will fix the day, and list what you need from them. Fill in your details once at the top of this page, and every script below updates.

A yes is not a booking until you both know the date and the terms. These six messages close the gap between the two.

To cancel a booking, use the cancellation scripts. For the day-before message, use the keeping the client updated pack. Fill in your details once at the top of this page, and every script below updates.

Scripts

Script 01 · Yes received, so recap what we agreed

Text

Hi [Client name], thank you, this is [Your name]. Here is what we agreed: [the work], for [Amount]. It does not include [what is not included]. I will send you a start date by [date]. Please reply "yes, that is right" so we both have it. [Your name]

Why it works A short recap in writing gives you both a record. It also shows the client what is not included.

Script 02 · Accepted by phone, so put it in writing

Text

Hi [Client name], [Your name] here. Thank you for the call today. So we both have it in writing: [the work], for [Amount], not including [what is not included]. I will confirm the date by [date]. Please reply if any of this is wrong. [Your name]

Why it works A spoken yes leaves no record. This message turns it into one in two minutes.

Script 03 · A pencilled date

Text

Hi [Client name], [Your name] here. I can start [job] on [date]. I hold that date until [date]. It becomes firm when [the deposit arrives / you confirm in writing]. If I do not hear by then, I release it. [Your name]

Why it works The client knows how long the date is held and what makes it firm.

Script 04 · The date is confirmed

Text

Hi [Client name], [Your name] here. Thank you for [the deposit / your reply]. [Job] is now booked for [date]. I will message you the day before with my arrival window. [Your name]

Why it works This message tells the client the booking is firm, so both of you can plan around it.

Script 05 · The start date is far out

Email

Subject: [Job]: you are in the diary

Hi [Client name], You are in my diary for the week of [date]. I will confirm the exact day by [date]. Until then, nothing is needed from you except [anything the client must do]. Tell me if your plans change. [Your name]

Why it works A client who waits weeks wants to know they are not forgotten. This tells them when news comes.

Script 06 · What I need from you before we start

Email

Subject: [Job]: what I need before [date]

Hi [Client name], To start [job] on [date], I need these from you: 1. [Decision or choice], by [date]. 2. [Access or preparation], by [date]. 3. [Anything else], by [date]. If one of these slips, the start date may move. I will tell you at once. [Your name]

Why it works One list, with a date for each item. The client has a clear task, and you have a clear reason if the date moves.

Questions

Is a text message enough to confirm a job?
A text or email gives both of you a record you can read later. Send a short recap of the work, the price and what is not included. These scripts give no legal advice.
How long should I hold a pencilled date?
Pick a short fixed time, such as three to five days. Put the end date in the message. Release the date in writing when the time ends.
Where is the deposit request?
It is in the quote follow-ups pack. The cancellation message is in the cancellations pack. The day-before message is in the keeping the client updated pack.
Do these messages send automatically?
No. You write and send every message on this page yourself. BizBinder has no quote acceptance step. You can add a note to the job to record what you agreed.

Want the agreed date and terms kept with the job?

You write and send every message on this page yourself. BizBinder has no quote acceptance step and sends no booking messages. It does give each job a status, a scheduled date and a dated notes history. Add a note with what you agreed, and when.
