Busy in July, quiet in April, billed the same way

Your year swings. Air conditioning calls pile up in summer. No-heat calls pile up in winter. The shoulder months are slow. BizBinder keeps the diagnostic fee, the parts, and your maintenance plan on one job record. The paperwork stays simple in a busy week.

The year you actually have

The season swing

In July you run six AC calls a day and type invoices at night. In April you have two jobs all week. You need billing that is fast when you are busy and cheap to keep when you are not.

The plan that bills itself

A client on a twice-a-year plan pays the same amount each time. A recurring invoice every 6 months sends that bill for you. You still book the visit yourself.

The visit that ends in “it’s the board”

You drove out, tested the system, and found the fault. That time has a price even when the client wants to think about the repair. Put the diagnostic fee on its own line.

Repair it or replace it

A 14-year-old unit with a failed part. The client wants two prices side by side. Quote both, let them pick, and bill the one they pick. A big install can take a deposit first and the balance after.

What ends up on your invoice

A no-heat call that ended in a new part. The fee, the labor, and the part each get a line:

DIAGNOSTIC FEE ON ITS OWN LINE
No-heat call, 22 Elm St
Item Amount
Diagnostic fee $95.00
Labor, 1.5 hrs @ $110/hr $165.00
Materials: igniter, marked up Model number in the job notes $72.00
Materials: filter $18.00
Total due $350.00
  • Job done · 12 Jan
  • Reminder scheduled · +7 days

How it works for you

  1. A call comes in: no heat, no cooling or a plan visit. You log it before you leave the truck.
  2. It becomes a job: quoted first for a big install, or logged live for an emergency.
  3. You log the work: time and parts go on the job as you go. Put the model number in the notes.
  4. One invoice goes out: fee, labor, and parts together. Maintenance plans repeat on a schedule you set.
  5. Reminders chase it: they go out on their own, so a finished job does not turn into an unpaid one.

The bits that matter for HVAC

A plan that bills on schedule

Set the invoice to repeat every 6 or 12 months. It bills only. You book the visit and keep the service date.

Parts with your markup

Each unit, filter, or part is a material entry. It carries your markup and shows as its own line on the invoice.

A client book with the history

Write the model number and the last fault in the client notes. The next call starts from the file, not from memory.

Where BizBinder isn’t the answer

If you run a dispatch team with a board of techs and a call center, you need a field-service suite. See the full comparison. BizBinder is for a solo tech or a small crew who run their own quotes, visits, and invoices.

Questions

Can I bill a maintenance plan every six months?
Yes. Set up a recurring invoice that repeats every 6 months. It sends the bill on schedule. It does not book the visit or remind the client. Keep your own calendar for service dates.
Can I charge a diagnostic fee as its own line?
Yes. Add the diagnostic or call-out fee as a separate line on the invoice. The repair labor and parts sit below it.
How do I quote a repair or a replacement?
Use the free quote generator to list both options and mark one as optional. Then log the work you actually do on the job and invoice that.
Can I add equipment and parts with a markup?
Yes. Log each part or unit as a material entry on the job. Price it with your usual markup. It lands on the invoice as its own line.
How do I take a deposit on a big install?
Send an ordinary invoice for the equipment deposit first. When the install is done, send a second invoice for the balance.
