Tools and hired kit scripts, for the messages kit makes you send

Six messages about kit. Explain a hire line on a quote, and tell the client about extra hire days after a delay. Give a new date when a tool breaks, and say no when a client asks to borrow a tool. Agree where kit stays overnight, and report kit that is damaged or missing. Fill in your details once at the top of this page, and every script below updates.

Kit brings small awkward messages. The client sees a hire line and asks what it is. A delay keeps the kit on site for more days. A tool breaks, or a client wants to borrow one.

The first two scripts cover the hire line and extra hire days. The next three cover a broken tool, a borrowing request, and kit left overnight. The last covers kit that is damaged or missing. Fill in your details once at the top of this page, and every script below updates.

Scripts

Script 01 · The hire line on the quote, explained

Email

Subject: Quote for [job], with the kit hire

Hi [Client name], Here is the quote for [job], [Amount]. It has a separate line for [kit] hire, [hire amount]. That covers delivery, [number] days of use and collection. If the job needs more days, I will tell you before I add any cost. [Your name]

Why it works A separate, labelled line shows the client what the kit costs. It is not mistaken for your labour.

Script 02 · Extra hire days after a client delay

Text

Hi [Client name], the [kit] has stayed on site [number] extra days because [reason]. As the quote says, extra hire days cost [amount per day] each. I will add [total extra] to invoice [Invoice #]. Please tell me if you have a question.

Why it works The quote already said who pays. Repeating it plainly, with the numbers, keeps the message calm.

Script 03 · A tool broke, and here is the new date

Text

Hi [Client name], a tool broke today, so I cannot finish [job] on [old date]. I will fix or replace it. The new date is [new date]. There is no extra cost to you. Sorry for the change.

Why it works Tell the client early and give a real date. Say plainly that the cost is yours.

Script 04 · A client asks to borrow a tool

Text

Hi [Client name], sorry, I cannot lend my tools. If one breaks or goes missing, I cannot finish the work. A local hire shop should have [tool]. I can tell you what to ask for.

Why it works A short, polite no with a useful answer keeps goodwill and keeps your kit safe.

Script 05 · Leaving kit on site overnight

Text

Hi [Client name], I need to leave [kit] on site tonight. Can I keep it in [place]? I will collect it on [date]. Please do not use it while I am away.

Why it works Agreeing the place before you leave the kit avoids a dispute if something goes wrong.

Script 06 · Kit damaged or missing on site

Email

Subject: Kit missing from [job] site

Hi [Client name], When I arrived today, [kit] was [missing / damaged]. I left it in [place] on [date]. Please tell me if you know what happened. I will decide next steps once we have spoken. I am checking with my insurer. [Your name]

Why it works Report the same day, with the facts and no blame. That keeps the conversation open.

Questions

Can I charge a client for my own tools?
Not as a line. Your tools are an overhead. Build a small amount for wear into your hourly rate.
Who pays when my tool breaks mid-job?
You do. Tell the client early and give a new date.
Should I let a client borrow a tool?
No. Say so politely. Tell them where to hire one.
Do these messages send automatically?
No. You write and send every message on this page yourself. BizBinder does not track your tools or message a client for you.

Want the hire shown clearly on the invoice?

You write and send every message on this page yourself. BizBinder has no tool list, no expense tracking and no equipment line type. You can add hired kit to a quote or invoice as its own line with a clear description. Write what you agreed in the job notes.
