Invoice correction scripts, for fixing a mistake on a client invoice

Six messages for when a sent invoice needs fixing. Send a quick correction note, a credit note for an overcharge, and a second invoice for an undercharge. Tell a client which of two duplicates to pay. Ask what to do with an overpayment. Reply when a client flags the invoice as wrong. Fill in your details once at the top of this page, and every script below updates.

A sent invoice stays as it was sent. You fix a mistake with a new message or document that names it. These six scripts cover the moment a mistake turns up. One is a quick correction note. One is a credit note for an overcharge. One is a second invoice for an undercharge. One tells a client which of two duplicates to pay. One asks what to do with an overpayment. The last replies when a client says the invoice is wrong.

Fill in your details once at the top of this page, and every script below updates to match. None of these messages voids an invoice or records a payment — those stay outside what BizBinder does.

Scripts

Script 01 · A quick correction, right amount, wrong detail

Email

Subject: A correction to invoice [Invoice #]

Hi [Client name], One correction to invoice [Invoice #]: [wrong detail] should read [correct detail]. The amount is not affected — [Amount], due [Due date]. [Your name]

Why it works Name the exact detail and the invoice it belongs to. The client can then fix their own copy in one read, without wondering whether anything else changed.

Script 02 · An overcharge — a credit note

Email

Subject: Credit note for invoice [Invoice #]

Hi [Client name], Invoice [Invoice #] charged [amount charged] for [what was overcharged]. Attached is a credit note for [credit amount], referencing invoice [Invoice #]. [If already paid: I will refund this to the account you paid from by [date]. / If not yet paid: this credit reduces what you owe to [corrected amount].] [Your name]

Why it works Naming the original invoice number on the credit note keeps both records lined up. The invoice stays as it was sent. The credit note is the paper trail for what changed.

Script 03 · An undercharge — a second invoice for the difference

Email

Subject: Invoice [Invoice #] — the balance on [original invoice number]

Hi [Client name], [Original invoice number] left out [what was missed]. This invoice, [Invoice #], covers the difference: [Amount], due [Due date]. [Your name]

Why it works A second invoice with its own number leaves the first one untouched. A plain "this covers the difference" line stops it reading as a fresh, unexplained bill.

Script 04 · A duplicate — tell the client which one to pay

Text

Hi [Client name], it's [Your name] — you may have gotten invoice [Invoice #] twice by mistake. Please pay it once, for [Amount]. You can ignore the duplicate copy.

Why it works Name the one invoice number to pay. That settles a duplicate in one line. You do not need to cancel or reissue either copy.

Script 05 · An overpayment — refund or credit

Email

Subject: You paid more than invoice [Invoice #] asked for

Hi [Client name], You paid [amount paid] against invoice [Invoice #], which asked for [Amount]. Would you like the difference refunded, or held as a credit against your next invoice? [Your name]

Why it works Ask the client. Do not decide for them. Write the answer down against the invoice it relates to. That stops an overpayment turning into an unexplained balance later.

Script 06 · Client says the invoice is wrong

Email

Subject: Re: invoice [Invoice #]

Hi [Client name], Thanks for flagging it. Can you tell me what looks wrong on invoice [Invoice #] — the amount, a detail, or something else? I will get it corrected once I know which. [Your name]

Why it works One question narrows a vague complaint to a specific fix. Then you send the right script above instead of a guess.

Questions

Can I just edit the invoice and resend it?
No. Once an invoice is sent, the record stays as it was sent. That keeps the client’s copy and yours matching. Fix the mistake with a correction note, a credit note, or a second invoice instead.
Do I need a new invoice number for a correction?
Yes, for a second invoice or a credit note. Each gets its own number, and it should name the invoice it corrects. A detail-only correction keeps the original number, since the amount never changed.
What about tax on a corrected invoice?
That depends on your country, and it is not covered here. Ask your accountant before you correct an invoice that carries tax.
Do these messages send automatically?
No. BizBinder does not issue a credit note, a refund, or a void. It does not send any of these messages for you. You write and send every one yourself. It does lock an invoice once it is sent, so the record you sent stays the record.

Want the correction to stay attached to the job?

You still write and send every message on this page. Nothing here goes out on its own. BizBinder does not issue a credit note, a refund, or a void for you. It does lock an invoice once it is sent, so the record you sent stays the record. To bill work you missed, add the line to the job. “Create invoice” then bills only the new work, in a new draft linked to the job.
