Fully booked scripts, with a waiting list for a full diary

Six messages for a full diary. Give a new enquiry a real date, add a client to a waiting list, and offer a free slot. Answer an existing client who asks to fit in. Pass on an urgent job with a referral. Tell a new client about your higher rate. Fill in your details once at the top of this page, and every script below updates.

A full diary is good news, and it still needs a plan. A new client needs a real date. The word "soon" does not help them. An existing client needs to know where they stand.

The first three scripts cover a new enquiry, a short waiting list, and a free slot. The next one answers an existing client who asks to fit in. The last two pass on an urgent job and explain a higher rate to a new client. Fill in your details once at the top of this page, and every script below updates.

Scripts

Script 01 · A new enquiry, with a real next date

Email

Subject: Thanks for getting in touch

Hi [Client name], Thanks for getting in touch with [Your business]. My diary is full at the moment. The earliest I can start is [next free date]. Let me know if that date works for you. If you need someone sooner, I understand. [Your name]

Why it works A real date lets the client choose to wait or to ask someone else. Even a rough date is better than "soon."

Script 02 · Adding a client to the waiting list

Text

Hi [Client name], it's [Your name]. I've put you on my waiting list. There are [number] clients ahead of you. I'll call you when a date opens up.

Why it works The client knows how long the list is and what happens next. A place on the list needs no deposit.

Script 03 · A slot opened, offering it to the waiting list

Text

Hi [Client name], it's [Your name]. A slot has opened up on [free date]. Would that work for you? Please reply by [reply-by time], then I'll offer it to the next person.

Why it works One date and a reply-by time give a simple yes or no. The list keeps moving.

Script 04 · An existing client asks "can you fit me in?"

Text

Hi [Client name], thanks for asking. My diary is full, and my first free slot is [next free date]. If the job is urgent, tell me and I'll see what I can move.

Why it works You give a real date first. The client can still tell you if the job is urgent.

Script 05 · An urgent job you cannot fit, with a referral

Text

Hi [Client name], I can't get to this in time, and I don't want to hold you up. [Referral name and contact] often takes urgent work like this. Mention my name when you call.

Why it works A named referral gives the client help they can use right away.

Script 06 · A new client, at your higher rate

Email

Subject: Your quote for this job

Hi [Client name], Thanks for asking me to quote. The price for this job is [Amount]. The quote is valid until [Due date]. My rate for new work went up this month, because demand is high. The earliest I can start is [next free date]. [Your name]

Why it works You give the reason for the rate in one plain sentence. The client sees the price and the start date together.

Questions

Should I take a deposit to hold a place on the waiting list?
No. A place on the list has no date, so it is not a booking. Take a deposit when you book a real date.
What if two clients want the same free slot?
Offer it to the client who waited longest. If they cannot take it, offer it to the next name on the list.
Is it fair to charge a new client more than an existing one?
Yes. A full diary shows real demand for your time. Raise your rate for new work. Keep existing clients on the rate you agreed.
Do these messages send automatically?
No. You write and send every message on this page yourself. BizBinder does not keep a waiting list, book a slot or message a client for you.

Want to see this week’s booked jobs at a glance?

You write and send every message on this page yourself. BizBinder has no waiting list and no booking page. A new enquiry stays in your requests list until you turn it into a job or close it. A job can stay a quote with no date. The This week view shows the jobs booked for this week.
