Remittance Advice
Remittance advice is a short note a client sends saying a payment is on its way, or has been sent, and which invoice it covers. It matters most when several invoices are open at once and a bank transfer alone doesn’t say which one just got paid.
What it means
A bank statement shows an amount landed in your account, but not always which invoice it was for — especially if a client is paying two or three at once, or the reference field is blank or garbled. Remittance advice fills that gap: a short email or note saying “paid $450 today against invoice #1042.”
It’s more useful to ask for than to send, if you’re the one being paid — a simple line in your payment instructions (“please reference the invoice number when paying, or send a quick note on what it covers”) saves you from having to guess or chase clients to reconcile an unexplained deposit.
Two invoices, #1041 and #1042, are both open with the same client. A $600 bank transfer arrives with no reference. A remittance note — “that $600 was for #1042, the other’s coming Friday” — is the only reason you know which invoice to mark paid.
Asking a client to pay by bank transfer without asking them to reference the invoice number — then having to guess, invoice by invoice, which payment matches which bill.
