Quoting, call-outs, and invoices that actually add up

Between a quoted rewire, a 7am call-out, and the breaker you picked up from the supplier on the way, most weeks mix three different kinds of billing. BizBinder keeps the job, the materials, and the invoice attached to each other so nothing gets reconstructed from memory.

The week you actually have

The quoted rewire

You walked the job, priced the labour and the cable and boards, and the client signed off on a deposit before your crew shows up. That quote becomes the job the moment it’s accepted, so nothing gets re-typed into a separate invoice later.

The 7am call-out

No power to a unit, a tripped board, a fault that can’t wait for a quote. You fix it in an hour and need the call-out fee, the labour, and whatever part you swapped billed before the details are gone from your head by lunchtime.

The letting agent job

Booked by a managing agent on behalf of a landlord who you’ll never actually speak to. Miss the property reference or unit number and the invoice bounces back from the agent’s accounts team, unpaid, for a fortnight.

The materials run

A breaker or a length of cable you didn’t have on the van, bought from the supplier mid-job and marked up the way you already do. It needs to land on the invoice as its own line, not get quietly absorbed into the labour and forgotten.

What ends up on your invoice

A same-day call-out for a managed property — call-out fee, labour, marked-up materials, and the property reference the agent’s accounts team needs to actually pay it:

OUT-OF-HOURS RATE APPLIED
Emergency call-out — Unit 4, managed by Ashgrove Lettings
Item Amount
Call-out fee (out-of-hours) $95.00
Labour — 1.5 hrs @ $85/hr $127.50
Materials — RCD breaker, marked up $42.00
Total due $264.50
  • Property ref: Ashgrove Lettings · Unit 4
  • Reminder scheduled · +7 days

How it works for you

  1. A request comes in — a call, a text, or an agent’s email — logged before you’re even in the van.
  2. It becomes a job — a quoted rewire priced up front, or an emergency call-out logged as it happens.
  3. Work gets tracked as you go — time, notes, and any materials bought mid-job, attached to that job, not reconstructed from a receipt later.
  4. One invoice goes out — call-out, labour, and materials together, with the property reference already sitting in the job notes.
  5. It gets chased automatically — reminders fire on their own when an agent’s accounts department is slow, which it usually is.

The bits that matter for electricians

Every job, from ask to invoiced

A walked quote or a same-day call-out both move through the same pipeline, with notes and materials attached — so “wait, did we ever quote that?” stops happening.

Invoices that send themselves

One-off call-outs and a recurring monthly maintenance contract for the same client can both run without you rebuilding either one from scratch each time.

A client book that remembers

Which agent, which property, what you quoted last time — on file, so every call-out starts from the history instead of your memory of a job from three months ago.

Where BizBinder isn’t the answer

If you’re dispatching a fleet of vans across a route of scheduled jobs — several techs, routing, crew permissions — that’s a field-service platform’s job, not a quoting-and-invoicing tool’s. See the full comparison for where BizBinder fits and where it doesn’t. It’s built for a sole electrician or a very small outfit running their own quotes and call-outs, not a dispatch operation.

Questions

Can I bill a call-out fee separately from the labour?
Yes — a call-out fee, labour, and materials are all their own line items on the same invoice, so the client can see exactly what they’re paying for rather than one lump number.
Does BizBinder handle out-of-hours or emergency rates?
Add it as its own line item at whatever rate you charge for evenings, weekends, or emergency call-outs — it sits alongside the standard labour line rather than replacing it.
Can I put a letting agent’s property reference on the invoice?
Put the property address, unit number, and the managing agent’s reference in the job’s notes, and they’re right there when you invoice — no separate document to keep straight.
What about materials I pick up mid-job?
Add them as a line item priced however you already mark them up. They’re logged against the job the moment you buy them, not reconstructed from a receipt at the end of the week.
Can I run a recurring maintenance contract alongside one-off call-outs?
Yes — a monthly switchboard check for one client can send itself on schedule while every other job stays one-off and quoted as usual. The two billing styles don’t interfere.
